Description

ABOUT THE POSITION
The Director of CMO Operations oversees key operational functions across five facilities, with primary responsibility for student recruitment and communications, along with IT management, procurement, administrative operations, and facilities management. This role provides strategic leadership to enhance operational efficiency, align resources with organizational goals, and support a collaborative environment between the CMO and schools.

The Director supervises the student recruitment team to ensure strong enrollment pipelines and effective outreach, and the communications team to manage consistent messaging, branding, and public engagement. In addition to these core areas, the Director ensures that operational systems, facilities, and technology infrastructure are maintained to support the long-term success of the organization.

ABOUT THE ORGANIZATION:
The Central Office is the non-profit entity that manages the Urban Dove Charter Schools. The CMO provides a wide range of services–including back office functions, accounting, hiring, professional development, data analysis, public relations, advocacy, and more. The CMO is also responsible for providing support structures for the schools and ensuring proper replication of the model as the organization expands.

CORE RESPONSIBILITIES:

Student Recruitment

Supervise the student recruitment team to ensure effective outreach and alignment with enrollment goals.

  • Oversee the development of recruitment strategies, pipelines, and partnerships to support sustainable enrollment growth.
  • Monitor recruitment data and outcomes to assess effectiveness and adjust strategies as needed.

Communications

  • Supervise the communications team to manage internal and external communications, public relations, and branding across the network.
  • Oversee the development and execution of communication strategies that strengthen the organization’s visibility and reputation.
  • Support consistent messaging across schools, the CMO, and community partners to reinforce mission and values.

IT Management

  • Lead IT operations for approximately 300 employees, ensuring reliable, secure, and efficient technology systems across all sites.
  • Manage IT infrastructure, including hardware, software, and network systems, with a focus on data security and scalability.
  • Supervise IT consultants to oversee e-rates, equipment procurement, and system upgrades.
  • Provide leadership to the IT Associate, ensuring timely and effective delivery of support and troubleshooting.
  • Develop and enforce technology policies and procedures, including those related to data security, user access, and disaster recovery.

Facilities Management

  • Oversee operations and maintenance for five locations, ensuring adherence to safety, regulatory, and operational standards.
  • Manage vendor relationships for repairs, maintenance, and renovations, negotiating contracts and ensuring high-quality service delivery.
  • Conduct regular inspections to address maintenance needs, identify improvements, and maintain compliance with all regulatory requirements.
  • Ensure proper administration of utilities, permits, and certifications, including DOH/DOB permits and FDNY certifications.
  • Develop and execute comprehensive maintenance schedules in coordination with internal teams and external vendors.

Operations Management

  • Direct day-to-day administrative operations of the CMO office, optimizing workflows for efficiency and effectiveness.
  • Manage the scheduling and allocation of office and conference spaces to meet organizational needs.
  • Coordinate logistics for meetings and events, including facilities setup, equipment, and service delivery.
  • Implement inventory systems to track and maintain office supplies, ensuring adequate availability and cost control.

Purchasing and Procurement

  • Lead procurement efforts for the CMO and affiliated schools, ensuring cost-efficiency, quality, and compliance with policies.
  • Maintain accurate records of purchases and vendor relationships, ensuring alignment with financial regulations.
  • Develop streamlined procurement processes and improve vendor management to enhance operational efficiency.

Administrative Compliance

  • Ensure compliance with all administrative requirements, including permits, insurance, licenses, and certifications.
  • Collaborate with the finance team to maintain accurate records and ensure adherence to financial and regulatory standards.

Leadership and Collaboration

  • Act as the primary liaison between the CMO and school-based staff for operational matters, fostering effective communication and collaboration.
  • Lead and mentor the operations team, providing professional development opportunities and promoting a culture of excellence.
  • Partner with school Directors of Operations to align initiatives, support shared goals, and optimize operational outcomes.
Requirements
  • Bachelor’s degree in Business Administration, Facilities Management, or a related field; pre advanced degree preferred.
  • Minimum of 5-7 years of experience in facilities management, operations, or a similar role.
  • Proven expertise in managing multiple facilities and operational teams.
  • Strong knowledge of procurement practices and financial compliance.
  • Exceptional organizational, problem-solving, and communication skills.
  • Ability to manage multiple priorities and adapt to a fast-paced environment.

Salary Description
$110,000.00 - $120,000.00
