ABOUT THIS ROLE
The Executive Coordinator is a key member of the Center for Leadership, supporting the team’s various initiatives by managing day-to-day activities, performing administrative tasks, collaborating with others in the Center and interacting with internal and external partners. The Executive Coordinator will be expected to complete all tasks assigned in a timely manner while maintaining deadlines.
This posigion reports directly to the Executive Director for Leadership Initiatives. The salary range for this role is $52,000-$58,000. In accordance with our Reimagining Work policy, the Executive Coordinator should be willing to be in-person with colleagues a minimum of 40% of the time while having the flexibility to work remotely for the balance. In-person consists of meaningful connections with colleagues in an office, traveling to a different office or location to meet fellow staff members, at an Aspen event, at a meeting outside the office or other opportunities to meet in person with teammates and colleagues.

WHAT YOU WILL DO
Administrative Support
- Provides high-level administrative support, including managing calendars, scheduling meetings, and coordinating travel for senior staff;
- Manages correspondence including sorting and drafting emails, memos, and meeting/event materials;
- Prepares daily briefing materials and tracks follow-up items;
- Triages internal and external requests, ensuring timely, organized follow-up on key priorities;
- Maintains confidentiality and demonstrates discretion in handling sensitive materials and conversations;
- Keeps track of monthly expenses and receipts;
- Takes notes during internal and external meetings and convenings as needed.
- Supports team with administrative tasks as needed;
- Maintains CRM records and ensures timely data entry for events and contacts.
External communication
- Website Management – Update web properties, including team updates, new blog posts, press releases, and reports.
- Social Media Management – Manage and schedule social media platforms based on the Center’s content calendar and in collaboration with internal comms teams

WHAT YOU WILL NEED TO THRIVE
- Minimum 1 year of professional experience;
- Bachelor’s degree in business, communication or related field;
- Ability and desire to rapidly learn a wide variety of new subject matter;
- Ability to successfully manage many tasks simultaneously, master workflow details, and self-prioritize;
- Ability to work autonomously and with a small team;
- Strong work ethic with the ability to sometimes work long hours when necessary to complete tasks;
- Strong verbal, writing, and editing skills;
- Strong professional and diplomatic interpersonal skills;
- Strong customer service orientation – a “Yes, and” attitude;
- Excellent computer skills, particularly Microsoft Suite;
- Willingness and ability to travel, as much as 10% certain times of the year.
