Position summary:

The Associate Manager of Programs is responsible for supporting the operational and data management needs of the Programs & Services team. Reporting to the Director of Programs & Services and supporting Associate Directors across program areas, this role ensures that program data systems, trackers, reporting tools, and operational processes are accurate, organized, and effective.

This role serves as the central point person for program data tracking, reporting, and operational coordination. In addition to managing data collection processes, the Data Manager will build and maintain trackers, generate reports, monitor completion of deliverables, and support program leaders in using data to manage implementation effectively.

The ideal candidate is highly organized, systems-oriented, detail-driven, and comfortable managing multiple operational and data-related priorities simultaneously.

Responsibilities:

Data Management, Reporting & Tracking Systems

  • Responsible for data collection processes across multiple initiatives and stakeholders

  • Support in the building and implementation of reporting systems used to monitor program implementation and deliverables

  • Generate regular reports for the VP, Director and Associate Directors related to participation, program progress, deliverables, and completion rates

  • Ensure data is collected accurately, completely, and on time

  • Monitor submission of required data and proactively follow up with coaches and stakeholders regarding missing or incomplete information

  • Maintain clean, organized, and accessible datasets for internal use and reporting

  • Support basic data analysis and trend tracking to inform operational decision-making and identify brightspots

  • Identify gaps or inconsistencies in data systems and recommend improvements to processes and tracking methods that will strengthen program implementation

  • Identify delays, missing deliverables, or operational risks and escalate appropriately

  • Support operational processes that are unique to specific projects including vendor logs, program documentation, and workflow coordination

Logistics & Administrative Support

  • Coordinate logistical needs for program activities and events, including:

    • Booking travel and accommodations

    • Ordering books, materials, and program supplies

    • Reserving meeting space, catering, and technology needs for teams and whole staff training and events.

    • Preparing materials for meetings, professional development sessions (printing, copying, assembling packets) and school/district workshops

    • Setup and breakdown of events

  • Provide administrative support for program team staff including scheduling meetings, coordinating calendars, and supporting communications across teams

Key Qualifications

  • 2–4 years of experience in data coordination, operations, program management, or administrative support

  • Strong proficiency with spreadsheets, trackers, and reporting systems (Google Sheets, Excel, Airtable, or similar tools)

  • Experience building and maintaining organized tracking systems and reports

  • Exceptional organizational skills and attention to detail

  • Strong written and verbal communication skills

  • Demonstrated ability to manage multiple priorities and meet deadlines

  • Ability to follow up consistently and professionally to ensure accountability

  • Comfort working across teams and supporting multiple stakeholders simultaneously

  • Experience with CRM or data systems (e.g., Salesforce, HubSpot) preferred

Perks and Compensation

  • This position works 12 months and is a full-time position

  • Salary range: $89,758 - $104,717 per year, based on experience. Starting salaries are based on metrics that are non-negotiable to ensure equitable practices.

  • 403b options, with 6% match after one year of employment.
