Job Description:

FUNCTION AND SCOPE:

The SUNY Charter Schools Institute is responsible for evaluating proposals for new charter schools and for the continuous monitoring of student academic performance, fiscal soundness, and overall school operations of 240+ SUNY Authorized charter schools. The Executive Analyst reports to the Managing Director for Strategy & Communications and provides high level administrative, operational, and project support to the Institute's Executive Director and Leadership Team.

DUTIES:

Executive Operations (50%)

  • Manage the Executive Director's calendar, priorities, and scheduling to ensure effective use of executive time and timely advancement of Institute priorities.
  • Coordinate meetings and engagements involving the Executive Director, Managing Director for Strategy and Communications, SUNY leadership, Trustees, charter school leaders, and other key stakeholders.
  • Coordinate with the SUNY Board Office to support SUNY Charter Schools Committee related meetings, including the organization and dissemination of materials, communications, and logistics.
  • Prepare, organize, and distribute executive communications, including agendas, presentations, correspondence, and meeting materials.
  • Serve as a primary point of contact for the Executive Director and Leadership Team, ensuring timely communication, and follow-up.
  • Support Leadership Team operations by coordinating meetings, tracking action items, and ensuring timely completion of priorities and deliverables.
  • Assist with project management, content sourcing, drafting, and editing in support of the Institute's internal and external communications.
  • Project management of cross-functional projects and Institute initiatives by monitoring timelines, facilitating communication, and tracking progress toward key milestones.
  • Compile, organize, and synthesize information, data, and reports to support executive decision-making and stakeholder engagement.
  • Assist in producing reports, guidance documents and other Institute publications using Adobe InDesign.

Administrative Support (50%)

  • Responsible for maintaining the Executive Director's calendar and managing all related communication with invitees, including SUNY Board of Trustees members, charter school leaders, and other key stakeholders
  • Organize and manage logistics for Institute meetings, professional development activities, events, and recruitment efforts.
  • Coordinate Executive Director's travel arrangements and provide executive support while ED is in travel status including communicating any changes in schedule, managing changes/modifications and resolving problems.
  • Coordinate conference registration and travel arrangements for Institute staff.
  • Processing travel reimbursement for ED and other travelers to conferences and special events.
  • Manage administrative processes and office support functions for Institute staff in Albany and NYC.

Requirements:

REQUIRED EDUCATION/EXPERIENCE:

  • Bachelor's degree and 3-5 years of relevant experience, or an equivalent combination of education and experience.
  • Self-starter with strong interpersonal, written and verbal communication skills
  • Strong organizational capabilities and attention to detail
  • Ability to maintain a professional demeanor; to be discreet and handle confidential information
  • Strong computer skills required, including proficiency in Microsoft Office and Adobe; willingness to learn new programs

PREFERRED QUALIFICATIONS:

  • Experience with software programs such as Adobe InDesign, Tableau, BI Systems
  • Charter school or other experience in an educational setting

LOCATION:

  • Albany, NY (SUNY System Administration). This position follows a 50% in-person hybrid work schedule.

SALARY:

  • $60,000-$70,000 annually depending on a variety of factors that may include but are not limited to experience, education, training, certifications, and internal equity.
