Job Description

The School Operations Manager (SOM) ensures a safe, efficient, and welcoming shared PreK–8 campus so teachers can teach and students can learn. Reporting to the Director of School Operations and partnering with both School Leaders and regional teams, the SOM designs, runs, and continuously improves day-to-day non-instructional systems across both schools—including food service, facilities/custodial and maintenance, safety and event logistics, daily arrival/dismissal, front office service, athletics operations, attendance/enrollment support, and family/staff communications. The SOM is the on-site owner of execution: coordinating people, vendors, calendars, and spaces so that every routine is compliant, student-centered, and friction-free. Success is evidenced by: reliable, audit-ready meal service; clean, safe facilities verified through daily walkthroughs; on-time, well-run events and trips; responsive front-office service; smooth arrival/dismissal; accurate attendance with timely family outreach; strong re-registration and new family completion rates; and clear, consistent campus communications—delivered equitably across both schools.

The responsibilities and essential functions of the role include:

Operations Food Service Responsibilities

  • Manages all aspects of school food service, including meal quality, vendor and staff management, compliance, meal tracking, and timely meal delivery, ensuring that every student receives safe, nutritious meals daily.

  • Manages relationships with food service vendors to ensure consistent service, adherence to safety standards, and continuous improvement in quality and efficiency.

  • Creates and executes procedures to correctly identify students at each meal service (breakfast, lunch, supper, and snack), ensuring accuracy in meal counts and compliance with federal and state regulations.

  • Communicates lunch IDs and meal procedures clearly to staff, students, and families to promote smooth, accurate, and equitable meal distribution.

  • Observes routines during each meal service to confirm audit readiness and compliance with nutrition and food safety regulations.

  • Implements and manages dining schedules that maximize efficiency, minimize wait times, and ensure all students are served meals within designated timeframes.

  • Monitors meal service operations to identify opportunities for improvement in speed, accuracy, and student experience.

  • Supports the implementation of health and safety procedures, ensuring accurate records of student health information (including food allergies) and emergency contacts are maintained and readily accessible.

Custodial, Maintenance, and Facility Leadership

  • Partners and monitors the custodial team to maintain a consistently clean, safe, and welcoming environment for students, families, staff, and visitors, measured through daily inspections and stakeholder feedback.

  • Partners with maintenance to meet all maintenance needs of the school, including preventive care and timely resolution of facilities tickets, to minimize downtime, extend asset life, and ensure safe, functional learning environment.

  • Maintains clean, organized, and welcoming storage and shared spaces, ensuring accessibility, functionality, and a professional appearance.

  • Partners with the regional facilities team to ensure NOLAPS inspection action items are completed by required deadline

  • Completes daily facility walkthroughs to check on cleanliness and facility safety and security. Reports findings to appropriate parties for follow-up.

  • Ensures that hallways, classrooms, and public spaces reflect the school’s culture, brand, and mission by maintaining aesthetics and presentation standards that positively reinforce student pride and community values.

School Communications

  • Assists with school-wide communication to parents, including newsletters, updates, and announcements, ensuring families are well-informed and engaged.

  • Maintains clear communication channels that effectively share key campus events, deadlines, and updates with parents, guardians, and staff.

  • Creates and distributes communication materials for students, parents, and staff, ensuring consistent messaging aligned with school culture and priorities.

Event Planning & Execution

  • Works with the Director of School Operations (DSO), School Leaders (SLs), Assistant Principals (APs), and Grade Level Chairs (GLCs) to plan and execute school-specific events, ensuring smooth logistics and alignment with school goals.

  • Leads the execution of off-campus trips, ensuring safe, well-organized, and meaningful experiences for students.

  • Supports special events by arranging space and furniture, ordering materials and refreshments, setting up event spaces, and coordinating staff support as needed.

Attendance and Enrollment

  • Complete daily Attendance Calls for assigned grade-levels

  • Attend weekly attendance intervention meeting and serve as an attendance coach for a small group of focus students

  • Support families with new student registration as needed to ensure all newly assigned families complete registration within 5 days

  • Support the school's returning families' re-registration efforts to ensure 90+% of returning families have re-registered by the target date

General Operations Duties

  • Provides primary/secondary coverage of the front desk when the Office Manager/Data Manager are unavailable, including answering phone calls, responding to parent requests, receiving packages, selling uniforms, and ensuring daily front office activities run smoothly.

  • Directly support with the strong execution of daily safe and efficient arrival and dismissal procedures

Athletics

  • Organizes, schedules, and oversees all athletic events—including home and away games, practices, and tournaments—to ensure smooth operations and a positive experience for students, families, and fans.

  • Manages athletic equipment, uniforms, and other resources, ensuring teams are fully prepared and materials are well-maintained, inventoried, and available when needed.

  • Coordinates transportation for teams, ensuring logistics are arranged, schedules are communicated in advance, and travel is safe and efficient.

  • Communicates regularly with students, families, and community stakeholders about athletic program updates, schedules, and achievements, building pride and engagement in school athletics.

Qualifications

The following are required for the role:

  • Education & Credentials: High School Diploma or equivalent credential/related work experience

  • Experience: 4+ years in operations, office management, or school business support; 2+ years leading adults or frontline teams; Hands-on school-site ownership of daily systems (arrival/dismissal, attendance, facilities tickets, vendor coordination).

  • Knowledge: Deep understanding of daily school ops (attendance, enrollment, food service, health office, transportation logistics); Safety/OSHA basics for school settings; drill planning & incident reporting; Purchasing, inventory, and petty cash controls.

  • Technical Skills & Tools: Familiar with SIS daily use; basic assessment platform familiarity (e.g., NWEA, Illuminate); Google Workspace/Microsoft 365; strong Excel/Sheets skills for trackers & schedules; Work order/ticketing tools; basic scheduling/rostering tools.

The following are strongly preferred for the role:

  • Bachelor’s Degree

  • Experience training/front-desk staff; bilingual skills.

Physical & Mental Demands

  • While performing the duties of this job, the individual is regularly required to communicate information and ideas effectively so others will understand. Must be able to exchange accurate information in these situations, including noisy environments such as cafeterias and playgrounds, to more moderate situations such as classrooms or large group professional settings.
  • Specific vision abilities required by this job include the ability to observe details at close range (within a few feet of the observer).
  • Read, analyze, and interpret data (emails, memos, letters, etc.) and maintain visual attention and mental concentration for significant periods of time.
  • Able to sit and work at a desk/computer for extended periods of time and lift/move up to 50lbs occasionally

Work Environment

  • Duties are performed both remotely and in an office environment and may require traveling to other school facilities using employee's personal transportation.
  • This role routinely uses standard office equipment such as laptop computers and various digital devices.
  • This is a full-time position; days and hours of work are typically Monday through Friday, 8:30 AM to 4:30 PM. Occasional evening and weekend work may be required as job duties demand.
