The temporary 6 month Project Coordinator Apprentice role plays a critical role by providing a wide array of administrative and coordination services that support product development and content production processes, workflows, and teams.

What you'll do here:

Operational & Administrative Support

  • Provide timely day-to-day administrative and operational support to portfolio and production teams.
  • Coordinate a variety of operational workflows to ensure timely and accurate completion.
  • Maintain accurate records across internal systems related to vendors, projects, and product operations.
  • Organize, schedule, and coordinate meetings.

Vendor & External Partner On-boarding and Support

  • Facilitate account creation and systems access for vendors, content creators, and other key partners.
  • Ensure external contributors and vendors are properly on-boarded and configured for payment and Cengage system access; Serve as a point of contact for vendor inquiries related to invoices, payments, and systems, troubleshooting and resolving issues when needed.
  • Create SOWs and purchase orders and review, code, and submit invoices for approval and payment; Track invoice status and follow up as needed to ensure accurate and timely processing.

Perform "Light" Production and Project Management

  • Complete a wide variety of planned and ad hoc production and project management tasks that include, but are not limited to, data entry in business/production systems, uploading or downloading content, recruiting content reviewers and SMEs, managing e-mail inboxes, and fixing content.

Skills you will need:

  • BA or MA, within 3 years of graduation.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to independently manage multiple tasks and priorities in a fast-paced environment.
  • Proficiency with common productivity tools (e.g., Microsoft Office, Smartsheet, project management tools).
  • Enthusiastic, proactive, and service-oriented.
  • Strong and proactive written and verbal communication skills

Preferred:

  • Familiarity with financial processes such as invoice tracking, vendor management, or purchase orders.

The full base pay range has been provided for this position. Individual base pay will vary based on work schedule, qualifications, experience, internal equity, and geographic location. Sales roles often incorporate a significant incentive compensation program beyond this base pay range.
