What You Will Do:
Overview:
Reporting to the executive director, the Office and Operations Coordinator is an exciting role to support the operations of a thriving, fast-paced non-profit organization serving first-generation college students from low-income backgrounds. The Office and Operations Coordinator will have the opportunity to work with our students, staff, leadership, and external vendors. The ideal candidate is someone who can manage multiple tasks and competing priorities with tact and a high attention to detail.
The main areas of responsibility are office operations, administrative support, customer service, and IT support.
Primary Responsibilities:
Office Operations Management – 40%
- Oversee the proper use, functionality, and cleanliness of the Bottom Line office space and equipment
- Ensure proper maintenance and availability of office furniture
- Manage inventory and ordering of all office materials and supplies
- Deliver best-in-class support to all members of the Bottom Line community by answering questions, directing them to the appropriate parties, and/or taking detailed messages
- Manage student sign-in process and have knowledge of students in the office at all times
- Confirm appointments for Access students
- Maintain a welcoming environment as the primary front desk staff person
- Accept and distribute packages and mail deliveries
- Maintain relationships with landlord, external vendors, and other facilities personnel
Administrative Support– 50%
- Support the executive director with scheduling and administrative support (copies, meeting preparations, and follow-up)
- Provide organizational and logistical support for office-wide events and activities, including scheduling, set-up, catering, communications, clean-up/breakdown, etc.
- Provide organizational and logistical support for all-staff meetings as well as other standing meetings upon request
- Conduct relevant onboarding training sessions for new employees related to office logistics, technology, and operations
- Coordinate front desk coverage
- Assist with prospect research and preparation of donor briefings
- Prepare meeting materials, presentations, agendas, and supporting documents
- Maintain records related to board members, donors, funders, and community
partners - Support gift processing and acknowledgments
- Track/Coordinate logistics for donor cultivation, fundraising, and community
engagement events - Support grant administration and tracking of key deadlines and deliverables
Office Technology Point Person– 10%
- Serve as the technology point person for all IT issues, troubleshooting where appropriate, and contacting vendors as needed
- Maintain regular contact with Bottom Line Operations and Technology Department
- Ensure equipment is functioning and ready for use each day, including Computers, Phones, Network, Copiers/Printers, and mailing machinists.
Secondary Responsibilities:
- Represent the Bottom Line brand in a positive light, and take actions to increase brand awareness throughout the community
Duties, responsibilities, and activities may change at any time with or without advanced notice.
Work Schedule:
Monday – Friday: 9am-5:00pm – There may be times throughout the year when you may be expected to work additional hours and/or flex your schedule to support events, student programming, or office operations as needed.
Expected Travel:
Occasionally across Houston to attend meetings

- At least 3 year of relevant work experience
- Work authorization

- Demonstrated comfortability with technology and ability to troubleshoot
- Ability to work both autonomously and collaboratively
- Customer service orientation and approach, both in working with our students and staff
- Strong attention to detail and project management skills
- Ability to manage competing priorities and timelines
Preferred:
- Associate or bachelor’s degree, or progress toward a degree
- Experience managing office operations, facilities, or administrative support
- Experience in front desk, hospitality, or event support
- Demonstrated commitment to Bottom Line’s Mission, Vision, and Core Values
