About the Role

Ascend is seeking a highly organized, proactive, and detail-oriented Senior Manager of Executive Operations to support the coordination and execution of priorities across the executive office. Reporting to the Director of Executive Operations, this individual will manage day-to-day workflows, facilitate key planning routines, and execute strategic initiatives with precision and professionalism.

This role is a trusted operational partner to the executive office, supporting cross-functional collaboration, managing communications and scheduling, and ensuring timely follow-through on high-priority initiatives. The ideal candidate brings sound judgment, excellent communication skills, and the ability to move fluidly between tactical execution and strategic coordination. They are deeply organized and responsive and thrive in a fast-paced, mission-driven environment where clarity, discretion, and attention to detail are essential.

Competencies

System-Level Operations & Executive Support

  • Provides high-level operational support to the executive office by coordinating logistics, tracking key deliverables, and maintaining planning routines that advance organizational priorities, including executive meeting structures, network-wide meetings and institutes, and strategic planning retreats
  • Anticipates needs and ensures the executive leadership team and CEO are well-prepared for high-stakes meetings, decisions, and external engagements.
  • Exercises sound judgment to manage shifting priorities and resolve scheduling conflicts proactively.
  • Serves as a trusted liaison for the Chief Executive Officer, managing scheduling, time allocation, and external communications with professionalism and strategic awareness.
  • Manage and optimize the CEO’s calendar and inbox with high fidelity, ensuring timeliness, strong prioritization, and access to internal and external stakeholders

Project Management

  • Manages discrete workstreams within cross-functional projects, monitoring project milestones and risks early to enable course corrections.
  • Maintains accurate documentation, status updates, and communications supporting team accountability and alignment.
  • Continuously assesses and refines operational practices that enhance the executive office’s clarity, rhythm, and execution.

Systems & Workflow Optimization

  • Identifies and implements improvements that streamline workflows, including meeting prep and communication within the executive team.
  • Maintains and enhances executive-facing tools such as trackers, dashboards, and shared workspaces to support progress monitoring.
  • Communication & Professionalism
  • Communicates with discretion, situational awareness, and tone sensitivity, especially in high-stakes, time-sensitive, or cross-functional contexts.
  • Produces work that reflects the tone, quality, and professionalism expected of those operating in close proximity to the executive office, ensuring alignment with the organization’s leadership standards.
  • Assists in gathering and organizing data and insights to inform executive-level decision-making
  • Uses sound judgment to manage communications and logistics in ways that uphold the executive office’s standard of excellence.

Key Responsibilities

  • Manage the executive team calendar, including complex scheduling, prioritization, and external communication.
  • Plan and execute logistics for executive meetings and leadership routines (e.g., agendas, materials, notes, event space, technology, and follow-ups).
  • Project manage executive projects, ensuring clear timelines, stakeholder coordination, and follow-through.
  • Draft professional communications and maintain executive email follow-up and inbox management as needed.
  • Support the Director in building systems and tools that enhance executive team performance and alignment.
  • Track progress on strategic priorities using dashboards, trackers, and meeting documentation.
  • Collaborate across departments to ensure executive communications and planning are aligned with organizational goals.
  • Contribute to preparing board materials, executive presentations, and internal leadership updates.
  • Maintain high standards for operational excellence, responsiveness, and discretion in all aspects of work.

Qualifications

  • Bachelor’s degree required.
  • 3–5 years of experience in executive support, operations, or project coordination within a fast-paced, mission-driven organization.
  • Proven ability to manage complex scheduling, competing priorities, and logistics with precision and follow-through.
  • Strong written communication skills; able to synthesize and articulate information clearly for executive audiences and communicate professionally with external audiences.
  • High degree of professionalism, discretion, and emotional intelligence in managing sensitive information and relationships.
  • Demonstrated ability to manage short- and mid-term projects independently, from planning through execution.
  • Skilled at managing up and anticipating needs; comfortable asking clarifying questions and escalating when needed.
  • Familiarity with productivity and project management tools (e.g., Google Workspace, Microsoft suite, Trello) is preferred.
  • Brings strong attention to detail and organizational skills while staying adaptable and solutions-oriented.

Benefits

The salary will range between $80,000 - $105,000 annually, commensurate with level of experience.

Location & Work Arrangement

Based in our Brooklyn, NY office

Hybrid work schedule requiring in-office presence at least three days per week.
